These Terms of Service ("Terms") govern and apply to your use of our service (the "Service" “Sorsend”) provided by Sortask GmbH having its principal place of business at Münzgrabenstraße 44/12, Graz, Austria, 8010, ("Company", "we", "our", etc.), and any data, text, files, information, usernames, images, graphics, photos, profiles, audio and video clips, sounds, works of authorship, applications, links, created tasks, and associated information (together, the "Content") uploaded, downloaded, or appearing on our websites or applications.
Our Privacy Policy (for individual users) and Data Processing Agreement (for companies) explain how we collect and use your information. Using the Service, you agree to be bound by these Terms and our Privacy Policy. Suppose you are using our Service for an organisation or entity ("Organization"). In that case, you agree to these Terms on behalf of that Organization, and you represent and warrant that you have the authority to bind the Organization to these Terms. In that case, "you" and "your" refer to that Organization.
If you consider that our Terms and Privacy Policy or Data Processing Agreement affects your legal rights and obligations. If you do not agree to be bound by all of these, do not access or use our Service.
Sorsend is a B2B and B2C SaaS platform that uses artificial intelligence (AI) to analyze and categorize incoming email content into what we call “Topics.” These topics help businesses and professionals generate tasks, identify recurring patterns, and manage projects more efficiently.
The platform provides dashboards with analytics on email trends, recurring customer pain points, and business process bottlenecks. Additionally, team performance dashboards display individual team member metrics such as task completion rates, response times, and topic resolution statistics. These features aim to empower organizations with deeper insights into customer communication and internal efficiency.
Sorsend processes and stores the full content of email messages, including metadata, to enable these capabilities. While AI automation supports these insights, users are responsible for reviewing and validating AI-generated tasks, categorizations, and analyses.
We have transitioned from continuous webhook listening to an intelligent email detection system, which fetches new emails as soon as they are detected in the connected mail accounts.
AI Email Finder The Service includes an AI-powered email finder that allows you to submit a natural-language prompt. The AI may ask clarifying questions to refine intent and will surface one or more conversations it predicts match your request. AI Email Finder does not send messages or otherwise alter your mailbox; it only retrieves and displays results.
Initial asynchronous analysis; Topic suggestions; task creation defaults. When you first connect a mailbox (or when you trigger a re-scan), the Service may run an asynchronous analysis of historic emails to compute signals and propose Topics. During this initial analysis, the Service will categorize only the last fifty (50) emails and will not create tasks from those categorizations. After this initial phase, new incoming emails are, by default, converted into tasks automatically. You may switch task creation to manual at any time, including per Topic, and you can always create tasks manually.
You acknowledge that certain types of data processed through the Service may be sensitive, including but not limited to company emails and you are in full control and responsible when choosing to disclose such information.
Our Service provides automated categorization of emails and tasks using artificial intelligence (AI). However, users are responsible for ensuring their AI-generated content is aligned with applicable privacy and data protection laws.
You are solely responsible for defining the purpose, scope, and intended outcomes of any project that utilizes the Service. Sortask shall not be held liable for any direct or indirect damages, losses, or claims arising from unlawful use, discriminatory practices, or unauthorized monitoring resulting from your implementation of the Service. You agree to indemnify and hold harmless Sortask, its affiliates, officers, and employees against any claims, liabilities, damages, or expenses (including reasonable legal fees) incurred because of your misuse or unlawful deployment of the Service.
Users will be notified when they are added to a Topic where their emails will be analyzed, and we encourage providing appropriate privacy notices to employees and stakeholders.
Users must ensure that no emails belonging to minors under 16 are included in the Service. We disclaim responsibility for the processing of such data. Detection of minor-related data is not performed by Sorsend; responsibility rests entirely with the data controller.
Users must be aware that insights provided via dashboards — including those related to client complaints and team member performance — are generated through automated analysis of incoming email content.
These insights may rely on statistical patterns, sentiment analysis, or frequency detection algorithms, and while useful, are not definitive judgments. You remain fully responsible for interpreting and using these insights in accordance with applicable labor laws, privacy rights, and ethical standards.
We recommend informing your employees that their performance data is derived from communication analytics and task engagement. Organizations using these dashboards should ensure internal compliance with transparency and accountability requirements.
Our Service integrates with third-party providers, including email services (Gmail, Outlook, Apple Mail) and AI tools (Microsoft Azure AI). By using these integrations, you agree to their respective terms and policies.
We are not responsible for any issues arising from third-party services and integration.
We do not alter, delete, or modify original emails in third-party services. The Service acts as a reader or analyzer. Users are advised to maintain independent backups and review access permissions carefully.
We may suspend or terminate your account if you violate these Terms or if required by legal or security concerns.
If your account is terminated, access to Content and data may be restricted, and we reserve the right to delete any associated data.
We retain ownership of all intellectual property associated with the Service, except for user-generated content.
You grant us a limited license to use your content to provide the Service but retain ownership of your original work.
We do not guarantee uninterrupted access to the Service and are not liable for any damages resulting from service disruptions.
Under no circumstances will the company be liable to you for any loss or damages of any kind (including, without limitation, any direct, indirect, economic, exemplary, special, punitive, incidental, or consequential losses or damages) that are directly or indirectly related to: (a) the service; (b) our content; (c) user content; (d) your use of, inability to use, or the performance of the service; (e) any action taken in connection with an investigation by the company or law enforcement authorities regarding your or any other party's use of the service; (f) any action taken in connection with copyright or other intellectual property owners; (g) any errors or omissions in the operation of the service; or (h) any damage to any user's computer, mobile device, or other equipment or technology, including, without limitation, damage from any security breach or from any virus, bugs, tampering, fraud, error, omission, interruption, defect, delay in operation or transmission, computer line or network failure, or any other technical or other malfunction, including, without limitation, damages for lost profits, loss of goodwill, loss of data, work stoppage, accuracy of results, or computer failure or malfunction, even if foreseeable or even if the company has been advised of or should have known of the possibility of such damages.
Users are solely responsible for validating AI-generated outcomes before acting upon them. The Service is intended to assist, not replace, human judgment.
The Company disclaims all liability for business or personnel decisions made solely based on automated analytics or team performance dashboards. Users are advised to corroborate insights into human evaluation and context before taking operational or HR-related actions.
You agree to indemnify, defend (upon our request), and hold the Company harmless against any claims, liabilities, damages, losses, and expenses—including, but not limited to, reasonable attorney’s fees and costs—arising from or connected to:
(i) your content or use of the Service; (ii) any violation or alleged violation of these Terms; (iii) infringement of any third-party rights, including intellectual property, privacy, confidentiality, or publicity rights; (iv) non-compliance with any applicable laws, regulations, or government directives; or (v) any misrepresentation you make in connection with your use of the Service.
You must fully cooperate in the defense of any such claim. We reserve the right to take exclusive control of any matter requiring indemnification, and you agree not to settle any claim without our prior written consent. You are solely responsible for any costs incurred in fulfilling your indemnification obligations.
The laws of Austria govern these Terms. Any disputes arising from these Terms shall be resolved through the competent courts of Austria.
We reserve the right to update these Terms at any time. Changes will be posted on our website, and continued use of the Service constitutes acceptance of the updated Terms.
By using our Service, you acknowledge that you have read and understood these Terms and agree to be bound by them.
